The situation
An executive office handles hundreds of calls, appointments and meeting notes a day. Once that information is scattered across spreadsheets and notebooks, two things happen: the same person gets recorded twice, and the record of who changed what and when disappears. Institutional memory collapses into the memory of whoever happens to be doing the job.
What we built
Appointments, events, meetings and the directory share one data model. On an incoming call the number is looked up in the directory and the caller appears on screen. Duplicate records are collected on their own screen and merged. Every change is written to an audit log: who, when, what. Documents and photos can be attached to appointments; the desktop client reaches the same data through its own interface.
Approach
This system was written around one institution's own way of working; we didn't try to bend an off-the-shelf package into shape. Because it has to run inside the institution for years and will one day be handed to someone else to maintain, it was kept lean — every extra part that looks convenient today is a debt somebody pays a few years from now. The web panel and the desktop client show the same record, so staff see the same thing whichever one they open. Training and handover were part of the job too.
This system was built for an institution and is shown here without its corporate identity. Because it holds real personal data, screenshots can only be prepared with anonymous sample data — they'll be added here once that work is done.
